Reservation and Payment Guidelines

Reservation Confirmation

Your reservation will only be confirmed upon receipt of an official booking confirmation email from Alesea, Inc., which will be sent once payment is verified. If full or partial payment is not made within 24 hours of receiving the booking invoice email, your reservation will be canceled, and Alesea, Inc. reserves the right to release your preferred date(s) to other interested parties. No confirmation email, no confirmed reservation.

Payment Schedule

  • For reservations made within 30 days of the check-in date, full payment (100%) of the total amount quoted is required. 
  • For reservations made more than 30 days prior to the check-in date:
    • A 50% downpayment of the amount quoted is required to secure your booking; and
    • The remaining 50% must be paid no later than 5 days prior to the check-in date. 
  • All initial payments must be made within 24 hours of receipt of the booking invoice email to hold your preferred date(s).
  • Alesea, Inc. reserves the right to refuse entry if any balance remains unpaid by the deadline.

  • Card Payment (PayPal): A secure payment link will be included in the booking invoice email. Please note that a 5% processing fee applies and will be added to your total. To avoid this fee, you may choose to pay via bank transfer instead.
  • For last-minute bookings made less than 24 hours prior to the check-in date, payment must be made using InstaPay or PayPal to allow for prompt payment verification.
  • For bookings made more than 48 hours prior to the check-in date (excluding weekends), PesoNet payments are acceptable. This option requires at least 24 hours for processing during banking hours, allowing sufficient time for verification.
  • Once payment is made, please email your proof of payment to hello@alesea.co.

Refunds and Rebooking

  • A 50% refund for all payments made may be granted only if guests cancel at least 30 days before check-in.
  • Strictly no refunds for all payments made for cancellations made within 30 days of check-in.

Security Deposit

A refundable cash deposit of PHP 5,000 is required upon check-in. This will be returned upon check-out, subject to a thorough inspection of the property for any damages or incidental charges. Additional fees will apply for any loss or damage due to negligence—including damage to the property, amenities, furniture, or those caused by pets. Alesea, Inc. reserves the right to bill guests for the full cost of any damaged or missing items, which must be settled within 7 days of check-out.

Applicable Taxes

If you are required to withhold any applicable taxes, please attach a duly accomplished BIR Form 2307 (CWT) along with your payment.

Major Disruptive Events Policy

Alesea aligns with Airbnb's Major Disruptive Events Policy. In the event of a major disruptive event—such as war, government actions, pandemics, or other circumstances beyond our control—any payments made by the guest may be converted into credits for future stays. 

Adverse weather events, storms, and typhoons are generally foreseeable based on the local climate and, therefore, do not qualify as major disruptive events, especially from June to November. These events are thus excluded from our Major Disruptive Events Policy, which governs cancellations for occurrences that prevent the completion of a reservation. However, if there is an official announcement from PAGASA declaring a signal number 3 or higher covering the dates of travel in the villa's province, payments may be converted into credits for future stays.

Please note that all credits mentioned above can only be used for a one-time rebooking and must be applied to a future reservation within six (6) months of the original booking date. If not used within this period, the credits will be forfeited. Additionally, guests will need to pay any difference in rates if the new booking has a higher price. As outlined in our Refunds and Rebooking policy, all payments made are non-refundable outside the specified refund window. Reasonable expenses incurred, such as cleaning fees or costs of consumed items, may still apply.

Check-In/Check-Out Policy

  • Check-In: Standard check-in time is from 3:00 PM. Early check-in may be arranged upon request and approval, subject to availability, with fees starting at ₱2,000 per hour before 3:00 PM. The earliest possible check-in is 7:00 AM for non-consecutive bookings.
  • Check-Out: Standard check-out time is by 11:00 AM. Late check-out may be arranged upon request and approval, subject to availability, with fees starting at ₱2,000 per hour after 11:00 AM. The latest possible check-out is 4:00 PM for non-consecutive bookings.
  • Villa Inspection: To help streamline your departure, we may offer to begin the villa inspection as early as 10:00 AM. Our team will coordinate with you before proceeding.

Guest Policy Agreement and Villa Guidelines Waiver

By settling the payment, you agree to the terms outlined in the Reservation and Payment Guidelines, as well as the Guest Policy Agreement and Villa Guidelines Waiver.

Guest Policy Agreement and Villa Guidelines

This document outlines Alesea, Inc.’s (“Alesea’s”) guidelines, guest responsibilities, and legal terms in respect of the use of the villa (the “Villa”). By signing below, the guest (“Guest”), in his personal capacity and as the representative of his/her guests, children, companions, and representatives confirms full understanding and acceptance of all terms and acknowledges prior agreement to Alesea’s Reservation and Payment Guidelines and agrees to the terms and conditions set-out below. Alesea is not liable for issues arising from failure to review this waiver or the mentioned policies.

1. Guest Reminders and Villa Use

Check-In and Check-Out

  • Standard check-in time is strictly at 3:00 PM
  • Standard check-out time is strictly at 11:00 AM
  • Early check-in and late check-out requests must be pre-approved and may incur additional fees. A 10-15-minute villa inspection will be conducted prior to departure.

Beachfront Property Notice

As a beachfront property, natural elements such as sand, salt air, and humidity may affect interiors and electronics. To help protect the Villa:

  • Use outdoor showers and foot wash areas ensuring the rinse of the entire body properly before entering and kindly avoid bringing overly wet clothes or sandy items inside.
  • Keep all doors and windows closed when the air conditioning is in use or when leaving the Villa.

Swimming Pool & Jacuzzi Use

  • Operating hours: 7:00 AM to 10:00 PM. Use beyond operating hours is subject to pre-approval.
  • Strictly no foreign objects (ice, glassware, sharp objects, soap, bath bombs, chemicals, foaming or contaminating agents, etc.) allowed in or around the pool and jacuzzi.

Security and Valuables

Guests are solely responsible for the safety and security of their personal belongings during their stay. Guests must:

  • Ensure all doors and windows are securely locked at all times, especially when not in use, such as when leaving the Villa, resting or sleeping, or when any area is left unattended.
  • Store all valuables including cash, mobile phones, electronics, jewelry, passports, and other important items, in the provided safety deposit box.
  • For guest security, select outdoor common areas may be monitored via CCTV. There are no cameras inside any private indoor areas.

Alesea shall not be held liable under any circumstances for the loss, theft, or damage of personal belongings, whether inside or outside the property, and regardless of the cause. This includes, but is not limited to, incidents resulting from guest negligence, unauthorized entry, or natural events.

2. Guest Responsibilities and Conduct

The primary registered guest shall be fully responsible for the actions and conduct of all individuals in their group, including but not limited to children, household staff, and any accompanying guests. 

Guests are kindly expected to care for the property, its furnishings, appliances, and amenities, and to observe all Villa guidelines throughout the duration of their stay. As part of maintaining a safe, clean, and enjoyable environment for everyone, guests are requested to:

  • Keep shared and private spaces tidy by washing used dishes, disposing of trash properly, and refraining from leaving personal belongings behind. Please help maintain cleanliness in common outdoor areas such as hallways, gardens, and parking spaces.
  • Use furnishings and appliances as intended. For safety, we ask that guests avoid moving furniture or heavily altering setups. If you need help operating any equipment, our team is happy to assist.
  • Be mindful of noise levels to help preserve the peaceful atmosphere of the property and our neighbors. Kindly lower noise levels during our quiet hours: 10PM-6AM.
  • Respect neighboring spaces and boundaries. Please avoid entering adjacent properties or causing disturbances that may affect others’ comfort or privacy.
  • Support energy conservation by switching off lights, fans, air conditioning, and appliances when not in use or when leaving the property. Keeping doors and windows closed while the AC is on can make a big difference.
  • Follow all safety practices by familiarizing yourself with emergency exits. Observe safety protocols and avoid tampering with equipment like fire extinguishers. 
  • Smoke only in designated outdoor areas and keep cigarettes away from the pool to maintain a safe and pleasant environment for all.

3. Staff, Services, and Additional Charges

Villa Staff Guidelines

  • Villa Keepers are on duty from 8:00 AM to 5:00 PM.
  • For inquiries or concerns outside these hours, guests may contact the mobile number/s provided in the booking confirmation message for virtual support.
  • Staff are not tasked with handling guests’ personal errands, off-site purchases, or cooking duties. These responsibilities fall outside their designated roles for safety purposes. 

Extra Mattress

  • Extra floor mattresses are available upon request, subject to availability and applicable charges (from PHP 2,800 per head per night).
  • We highly encourage guests to request this prior to check-in to ensure a smooth and timely setup.

Staff Quarters / Bunk Room

  • The additional staff quarters bunk room is available upon request, subject to availability and applicable charges (from PHP 880 per head per night). Capacity limits vary per villa, and we can only accommodate up to the room’s maximum.
  • Note: The bunk room is air-conditioned and comfortable, but more modest in design than the main guest rooms.
  • We recommend booking with our Sales Team before check-in to ensure availability and proper arrangements.

Visitors and Events

  • Any large gatherings, events, visits by additional guests, or entry of third-party vendors (e.g. caterers, photographers, stylists) must be pre-approved. A large gathering refers to any instance where the total number of people at the villa at any given time (including both overnight guests and day visitors) exceeds the following standard capacity thresholds:
    • Oeste Villa: 21 guests and above
    • Baroro Villa: 11 guests and above
    • Tammocalao Villa: 13 guests and above
  • The final headcount, including all overnight guests and day visitors, must be declared prior to arrival. Additional charges and occupancy limits may apply.
  • Day visitors who stay beyond 2:00 AM and exceed the villa’s standard capacity will be considered additional overnight guests and charged accordingly at PHP 2,800 per head per night.

Pets

  • Pets may be accommodated upon request, subject to an additional fee and terms and conditions. View our full guidelines at https://view.alesea.co/petguidelines.

4. Security Deposit

A refundable PHP 5,000 security deposit is required at check-in. This will be returned upon check-out, subject to a post-stay inspection by the Alesea team for any damages or incidental charges.

The deposit may be partially or fully forfeited in the event of:

  • Loss, damage, or excessive wear to villa property caused by the guest or their group, including but not limited to furniture, appliances, fixtures, décor, kitchenware, linens, and electronics
  • Misuse or improper handling of villa amenities or equipment
  • Presence of unregistered guests, unauthorized events, or violations of any villa guidelines
  • Excessive mess beyond standard cleaning, including but not limited to the removal of heavy stains, bodily fluids, significant food or oil spills, or mandatory replacement of pool/jacuzzi water due to contamination (e.g. presence of vomit, urine, broken glass, or any substance that compromises cleanliness or guest safety).
  • Any other costs resulting from the guest’s stay, assessed in accordance with Alesea Villas’ standard rate card for damages and replacements

5. Third-Party Providers and Recommendations

Alesea may, upon guest request or as a courtesy, share contact details or informal recommendations for independent third-party service providers or nearby establishments (e.g. surf instructors, yoga teachers, masseuses, caterers, photographers, local restaurants, etc.).

In some cases, select local businesses may offer exclusive perks (such as discounts or promotions) to Alesea guests. These arrangements are guest-facing benefits only and do not imply official endorsement, affiliation, or responsibility on the part of Alesea. All third-party providers operate independently. Alesea Villas is not liable for the quality, availability, pricing, safety, or outcome of any services provided. Any bookings, transactions, or interactions are made at the guest’s sole discretion and risk.

Any physical activities or wellness services performed on-site or off-site (e.g. surfing, yoga, massage) are undertaken at the guest’s sole risk. Alesea Villas assumes no liability for injury or complications arising from participation in such activities.

We encourage guests to conduct their own due diligence when engaging with any third-party services.

6. Service Interruptions and Insurance

  • Guests acknowledge that Alesea shall not be held liable for any inconvenience, loss, or disruption caused by circumstances beyond its control. These include, but are not limited to, power outages, water supply interruptions, internet connectivity issues, and natural events such as storms, earthquakes, or other force majeure occurrences.
  • Guests are responsible for obtaining their own comprehensive travel insurance to cover personal incidents, including but not limited to trip cancellations, medical needs, accidents, loss or theft of belongings, or other unforeseen events during their stay.
  • Guests understand and accept that Alesea does not provide compensation or assume responsibility for personal loss, injury, or other damages resulting from such events.

7. False Declarations

Guests agree to provide complete and accurate information when booking, including the declared number of guests and the intended use of the villa. Should there be any false declarations, unregistered guests, or unauthorized events, Alesea reserves the right to take appropriate action, which may include:

  • Cancellation of the remaining stay and early check-out
  • Forfeiture of the security deposit
  • Withholding of accommodation refunds, as applicable

8. Use of Photos and Videos

By staying at the property, guests authorize Alesea to use or repost any publicly shared photos or videos taken during their stay for marketing or promotional purposes, without the need for further consent or compensation. Guests who prefer not to have their content used must notify Alesea in writing prior to or during their stay.

9. Assumption of Risk, Waiver of Liability, and Indemnity Agreement

Guest understands that the Villa is a beachfront property with features including pools, jacuzzis, and outdoor amenities. These features pose inherent risks including but not limited to: slips, trips, falls, drowning, strong ocean currents, weather changes, and exposure to natural elements.

Guest voluntarily assumes all risks of personal injury, property damage, or death that may arise from the use of the property, amenities, or participation in any activities on-site or nearby, including those offered by third parties.

10. Waiver and Release of Liability

Guest waives and releases Alesea and its owners, officers, staff, agents, and affiliates from all claims, liabilities, or damages arising from their stay, except in cases of gross negligence or willful misconduct.

11. Indemnity Clause

Guest agrees to indemnify and hold harmless Alesea from all claims, damages, losses, liabilities, or expenses (including legal fees) resulting from the actions or omissions of the Guest or any member of their group.

12. Emergency Medical Authorization

In the event of a medical emergency, the Guest authorizes Alesea and its staff to seek emergency care and make decisions on their behalf if incapacitated. All related expenses shall be borne by the Guest.

13. Condition of Property

By checking in, Guest accepts the condition of the Villa and all available equipment as safe and adequate. The Lessee assumes full responsibility for the use of any personal or provided equipment.

14. Severability

If any part of this Agreement is held to be invalid or unenforceable, the remainder shall remain in full force and effect under Philippine law. 

15. Entire Agreement

This Agreement supersedes all prior agreements, whether oral or written, and constitutes the complete and binding agreement between the guest and Alesea, Inc.

By proceeding with the booking and ticking the “I Agree” checkbox, I confirm that I have read, understood, and voluntarily agreed to the terms of the Guest Policy Agreement and Villa Guidelines, including any annexes or linked documents. I acknowledge that these terms form part of my binding agreement with Alesea, Inc.

I understand that failure to comply with any of these terms may result in penalties, additional charges, or removal from the property without refund. I further acknowledge that I have had the opportunity to review these terms and seek clarification before confirming my agreement.
